Select, Group and Compile Keywords

The Select command provides the most straight forward way to compile selected keywords into campaign and ad group for quick upload to Adwords.

Basically you select cells that contain the keywords you want to compile, define required outcome and click to execute.

This is particular useful when you

  • go through a list of suggested keywords downloaded from Google Keyword Planner, SEO keywords list, bottom of SERP, keywords competition tools, etc. 
  • edit, amend or expand existing campaigns 
  • need the keywords to be used in another ad group as negative keywords

In a click, the filtered/ selected keywords are compiled to a format readily to be loaded to Adwords.


Select Menu


The Table check box will decide the output format:

  • Table format for copy and paste to Adwords Editor, OR 
  • List format for copy and paste to Adwords through web interface.




After Output check boxes:
  • Select Output check box: Select the output automatically after the entire process
  • Copy Output check box: Copy the output automatically after the entire process
  • Delete Original: Delete the entire original keywords automatically after the entire process

These options will help you to copy and paste the output keywords to another program, i.e. Adwords Editor, quickly.

Click on "Select" Button to trigger dialog box.

(A) Output to Table format
This dialog box is for the output format to be upload to Adwords Editor.

(B) Output to List Format

This dialog box is for output format in list.

Demo 1: Output to Table Format


Select keywords, define settings, click to generate output.
The output format can be easily copy and paste to Adwords Editor.

Ad Group: You may choose to use the keyword in Active Cell as ad group name. You can further group the keywords by match type. (Active Cell is the only cell in a range of selected cells with white background).

There is an option to use keyword in the active cell as ad group name.
Active cell is the single cell in a selected range with white color background.

Demo 2: Output to List Format





In this processes selected and compiled keywords will be deleted from their original cells. This means you can work on the original list without fear of duplicating keywords.

Formulas in Keywords Editor

There are many formulas in Keywords Editor that can be used to manage keywords:

  • =PhraseMatch(text) : Turns all match types to Phrase Match
  • =ExactMatch(text) : Turns all match types to Exact Match
  • =NegativeMatch(text): Turns all match types to Negative Match
  • =ModifyKeyword(text): Turns all words to Modified Broad Match
  • =ModifyWord(text, text, Optional True/ False): Turns words that match the 2nd text to Modified Broad Match


Output and After Output Options

Default Output


In general there are two categories of output for Keywords Match Types commands.
  1. If you mark the Default Output ("Def. Output") check box: The commands will place the output keywords in the default location. However default location for each group of commands are different. Please refer to each commands group as below
  2. If you clear the Default Output check box, the commands will place the output at the location as defined in the "Options" of each command . 

However, there are 5 commands that are not respond to the Def. Output check box. This means, option made in Def. Output check box has no impact on these commands":
Commands that have NO impact from Def. Output check box option.

Defining Output Locations

When "Def. Output" check box is unmark/ clear, the program will place the output based on the settings defined in Options Ribbon button. In the case of Table commands and commands in Group Keywords, the output location is always defined by Options button and are not affected by "Def Output" check box.

These are the Output Options button for all the commands.

Each commands group has its own Options button to define output location.

Define "After Output" Options



These 3 options affects all commands in Keywords Editor.

These three check boxes tell the application what to do after the output is placed at its defined location.

Select Output check box: Select the output automatically after compilation
Copy Output check box: Copy the output automatically after  compilation
Delete Original: Delete the entire original keywords automatically after compilation

These options will help you to copy and paste the output keywords to another program, i.e. Adwords Editor, quickly.


Shortcuts in Keywords Editor

Ctrl+Shift+V : Paste the copied text or cells content to cells without the formatting, i.e. font face, font size, font color, background color, hyperlink, etc.

Paste Value or Text (which you copied from website) to a Cell or a range of Cells without the original format.

You can copy text from web site or from other Excel's cells. When you press Ctrl+Shift+V, you can paste the copied content to the selected cells. All formats of the original content will be stripped off.




Text Utilities Overview

There are 5 main commands in Text Utilities:

  • Text Case: Change Text Case to Proper case, UPPER case and lower case
  • Prefix Suffix: Add Prefix and Suffix to the text in cells
  • Clean Text: Clean unwanted characters in the text
  • Strip Text: Strip text is a quick way to delete unwanted string of characters in the text based on certain criteria. It is useful in extracting URLs' parts or clean up URLs.
  • Clear format: Clear all Excel cells formats, i.e. cell color, font, etc.


Output Options


The Options button is for more output options. More on Output Options of Text Utilities Commands.


Text Utilities Output Options

In general there are two categories of output for Text Utilities commands.

  • If you mark the Default Output ("Def. Output") check box, the commands will place the output keywords in the selected cells and overwrite the original keywords.
  • If you clear the Default Output check box, the commands will place the output at the location as defined in the "Text Utilities Output Options" dialog box. (The default output location for Text Utilities Output Options is Column A, start from Row 1.)



Define Output Locations 


When "Def. Output" check box is unmark/ clear, the program will place the output based on the settings defined in Text Utilities Output Options.

Just click on "Options" Ribbon button of Text Utilities to trigger this  dialog box.

You can place the output at
  • Active Sheet
    • Any column. Just indicate a number. Column A is 1, Column B is 2, Column C is 3, etc.
    • Column at the left of your selected cells
    • Column at the right of your selected cells
    • "Insert New Column" check box will automatically add a new column. Output keywords will be placed at this new column
  • New Sheet
  • New Workbook. You can give a name to the new workbook. The workbook name will always end with date and time.

The default output location for this option is Column A, start from Row 1.


Define "After Output" Options

Edit Keywords Functions Overview

There are nine commands to edit keywords in bulk:

  • Split: Break the keyword phrases into words and place each word in a cell in the Excel. 
  • Append: Append (without mix) multiple words in multiple cells of the same row into one keyword phrase.
  • Combine: Combine word lists in multiple columns to form keywords phrases
  • Permute: Create keywords variations by rearrange word order of keywords phrases in full
  • Add Word: Add new word to keyword phrases
  • Remove: Remove specific words from keyword phrases
  • Swap: Swap word order of keyword phrases
  • Delete: Delete keyword phrases from a list based on specific words

Definition
I used Keywords and Keywords Phrases interchangeably. Both refers to word or multiple words used in PPC marketing. For instance: 
  • red color running shoes is a keyword or keyword phrase.
  • shoes is a word, red is a word, color is a word, running is a word

Each command comes with more options to let the user to decide on

  • how to perform the command and 
  • output location
